We are seeking a reliable, organized Property Management Assistant to support daily operations across our property portfolio. This role will assist with tenant communication, maintenance coordination, office administration, and record keeping.
- Serve as main tenant contact after move‑in for service issues, complaints, questions, and community rules.
- Coordinate maintenance requests with the Maintenance Coordinator and Maintenance Director and communicate status updates to residents.
- Manage lease renewals: send renewal offers, track responses, coordinate pricing and terms, and update the system with new lease details.
- Assist with delinquency follow‑up and payment plans in partnership with the Accounting Assistant and Portfolio Managers.
- Handle behavior and noise complaints, issue lease violation notices, and support eviction coordination (downloading reports, submitting to attorneys, documenting the file).[
- Communicate inspections, pest control, and routine services to residents via email, portal, and posted notices.
- Complete or support move‑in and move‑out inspections as needed and ensure notes, photos, and charges are properly documented.
- Maintain accurate resident records, notes, and tasks in Buildium and other internal systems.
- Support Section 8 compliance, including recertifications, inspection follow‑up, and rent increase requests.
- Provide general administrative support to Portfolio Managers (owner updates prep, reports, scheduling, and follow‑ups)
- Strong communication and customer service skills.
- Excellent organization and attention to detail.
- Ability to multitask and stay on schedule.
- Proficiency with Microsoft Office or Google Workspace.
- Property management experience preferred, but not required.
- Experience with property management software.
- Familiarity with leasing, maintenance coordination, or bookkeeping.
- Full-time position.
